Limits and capabilities


How many visitors can I pre-register at once?


From the Admin app, there is no limit: you can create as many pre-registrations as you need.


From your calendar (Outlook, Google Calendar, Teams), the current limit is 10 visitors per invitation. Beyond that, the invitation is rejected. This is deliberate: it prevents accidentally importing mailing lists or internal team meetings.


👉 For a large group (open day, event), use manual preregistration in the Admin app instead, or write to us to adjust the limit.



How far in advance can I pre-register a visit?


Up to 1 year in advance, from the Admin app as well as from a calendar. Beyond that, the invitation is rejected — it's a safety measure to avoid importing recurring events with an unlimited horizon.



Troubleshooting


My visitor didn't receive the pre-registration email. What should I do?


This is the most common case. Here are the checks, in order:


1. Is the visitor invitation enabled?
Go to Settings > Sites > Settings & Features > Preregistration and check that Invitation Policy is set to Always.


2. Is the email in spam?
Ask your visitor to check their junk mail folder. Some company domains block external emails by default — the visitor's IT department can allow @anghello.co.


3. Was the visit created from a calendar?
In that case, it may have been filtered automatically if:


  • the event contains more than 10 external visitors (invitation rejected),
  • the event is scheduled more than 1 year out,
  • your organizer email doesn't match your Anghello account,
  • the recipients were technical addresses (noreply@…, mailing lists, room resources).


4. Is the visitor's email entered correctly?
Open the visit in Preregistration > Planned visits and check the spelling.


Still nothing? Write to us with the ID or date/time of the visit and the visitor's email. If it came from a calendar, attach a screenshot of the event.

My visitor can't find their visit on the check-in kiosk


The visit appears on the kiosk starting X minutes before the scheduled time slot, where X is the margin configured on the site. If the visitor arrives earlier than this margin, their visit doesn't appear yet.


Solution: increase the margin in Settings > Sites > Settings & Features > Preregistration > Allow visitors to preregister X minutes before the scheduled appointment time.

Can I forward an invitation I received from outside?


Soon, yes! This feature is being rolled out. As soon as it's available on your site, you'll be able to forward an invitation received from an external contact to the Anghello invitation address: the contact will automatically be recognized as the visitor to welcome.


In the meantime, two options:


  • Create the pre-registration manually in the Admin app.
  • Accept the invitation you received, then create a new event in your own calendar with the external contact as a guest and the Anghello invitation address as a recipient.

Configuration


How do I check that my preregistration setup works?


Two simple tests to run once the configuration is enabled.


Test 1 — Manual preregistration


  1. In the Admin app, create a pre-registration with your own email as the visitor, within the next hour.
  2. Check that you receive the invitation email.
  3. If Host verification is enabled, check that the host receives their email.
  4. At the time of the test, check that the visit appears on the check-in kiosk.


Test 2 — Import from Outlook or Google Calendar


  1. Create an event in your calendar, within the next hour.
  2. Add your personal address (or an external address) as a guest.
  3. Add the Anghello invitation address (my-site@invit.anghello.com) as a recipient.
  4. Send the invitation.
  5. Within a few seconds, the visit should appear in Preregistration > Planned visits.
