Pre-registration Overview

Plan your visits in advance, send a clear invitation to your visitors and speed up their arrival on site. This guide explains what preregistration is for, how it works and when to use it.

What it's for


Preregistration is the art of anticipating a visit. You tell Anghello that someone is coming, when, and who they're coming to see. In return, Anghello:


  • Notifies your visitor by email, with the date, time, location and your practical instructions (parking, access, door code…).
  • Saves time on arrival: the visitor finds their visit in one click on the check-in kiosk, and their form is already pre-filled.
  • Confirms the visit with the host (if you enable this option), to avoid bad surprises.
  • Integrates with your calendar: no double entry needed — an Outlook or Google Calendar invitation is enough.

You fill in an "Add a visit" form in Anghello.

You add the site's invitation email address as a recipient of an Outlook, Google Calendar or Teams event.

From the check-in kiosk

The visitor themselves

They click the link in their invitation email, which takes them straight to the kiosk with their visit pre-selected.



The journey, end to end


  1. Planning — An admin, a host or the system (via a calendar) creates the pre-registration.
  2. Invitation — Depending on your configuration, the visitor automatically receives an email, right away or a few days before the visit.
  3. Verification (optional) — The host receives an email asking them to confirm the visit.
  4. Arrival — The visitor scans the kiosk QR code (or clicks the link in their email): their form is already pre-filled.
  5. Finalization — They complete the remaining steps (custom fields, safety instructions) and enter the site.
  6. Tracking — The visit appears in real time in the Admin app and the Supervisor app.

💡 Tip: Preregistration is an add-on module. If it doesn't appear in your settings, it isn't included in your subscription. Contact us to enable it.


💡 Tip: Managing several sites? Each site has its own preregistration configuration, so you can adjust the rules site by site.
