Pre-register an appointment from Outlook or Google Calendar
Create a pre-registration simply by inviting a dedicated email address to your calendar event. Your colleagues keep their habits (Outlook, Google Calendar, Teams) and Anghello syncs the visit automatically.
Audience: Hosts, Administrators, Managers
Application: Outlook, Google Calendar, Microsoft Teams
Estimated time: 1 minute
Before you start
- Preregistration and the invitation address must be configured on the site. See Configure the calendar import address.
- You must be an Anghello user of the site (host or admin): the email you use as the organizer must be the one on your Anghello account.
Steps
1. Create an event in your calendar
Open Outlook, Google Calendar or Teams, and create a new event as you usually would.
2. Add your external visitors as guests
Invite your external visitors (up to 10 per event) by adding them to the participant list.
3. Add the Anghello invitation address
Also add your site's invitation address (for example my-site@invit.anghello.com) to the recipient list.
4. Send the invitation
Click Send. That's it! Within a few seconds, Anghello creates one pre-registration per external visitor.
What Anghello does automatically for you
- Your external visitors become pre-registrations in Anghello.
- You are identified as the host of each visit (thanks to your organizer email).
- Internal colleagues invited to the same event are ignored (they don't become visitors).
- Teams resources (rooms, equipment, projectors) are ignored.
- If you edit the event (date, time, guest list), Anghello updates the corresponding pre-registrations.
- If you cancel the event, the visits are automatically cancelled in Anghello.
Good to know
💡 Tip: Your calendar remains the source of truth. No need to edit the visit in two places (Anghello + calendar): a change in your calendar is enough.
💡 Tip: "All-day" events (a whole day, with no specific time) are automatically converted to a 00:01 – 23:59 time slot.
Troubleshooting
Problem | Solution |
|---|---|
The visit doesn't appear in Anghello | |
I have more than 10 visitors to invite | Use manual preregistration in the Admin app instead — no batch limit. |
The event is rejected as "unauthorized sender" | Check that you are the organizer and that your email matches your Anghello account. |
If the problem persists, contact our team.
