Articles on: Visits pre-registration

How Your Visitor Is Recognized Upon Arrival

On the day, the pre-registered visitor finds their visit in a few seconds on the check-in kiosk. Here's what they see and what they need to do.

Audience: Administrators, Managers, Hosts, Receptionists (to explain to visitors)
Application: Check-in kiosk
Reading time: 2 minutes

Two paths to find their visit

  1. The visitor clicks the link in their invitation email (on their smartphone or when arriving on site).
  2. They land directly on the check-in kiosk, with their visit pre-selected.
  3. They complete the remaining steps (custom fields, safety instructions) and confirm.

Path B β€” via the kiosk QR code

  1. The visitor scans the QR code on the check-in kiosk or the welcome poster.
  2. The kiosk asks whether they have a pre-registration.
  3. They type their name or email to find their visit.
  4. They select their visit: the form is pre-filled, and they just complete the remaining steps.

The availability window

The visit appears on the kiosk starting X minutes before the scheduled time slot, where X is the time margin before arrival configured on the site. Before this window, the visitor won't find their visit.

πŸ’‘ Tip: If a visitor arrives very early (before the margin), they can still start a standard check-in β€” but their form won't be pre-filled. To avoid this, increase the margin in the site settings.

Good to know

πŸ’‘ Tip: When the visitor selects their visit, Anghello also pre-selects their visitor type (if visitor types are enabled). They just have to confirm.

πŸ’‘ Tip: If your site requires signing safety instructions, they are shown after the visit is selected, just like in a standard check-in.

Troubleshooting

Problem

Solution

The visitor can't find their visit in the search

Check that the time margin is sufficient.

The form isn't pre-filled

The visitor probably didn't select their visit β€” they started a blank check-in. Start again via the I have a pre-registration button.
