Articles on: Visits pre-registration

Configure pre-registration

Preregistration lets you plan visits in advance and send an invitation to the visitor before they arrive. The visitor receives an email with all the practical information and can check in faster on arrival. This guide shows you how to enable and configure this feature.

Audience: Administrators, Managers
Application: Admin (app.anghello.co)
Estimated time: 10 minutes

Before you start

  • You need an Administrator or Manager account on Anghello
  • The "Preregistration" add-on module must be included in your subscription

Enable preregistration

1. Go to the site settings

In the left-hand menu, go to Settings > Sites. On your site's card, click Settings & Features.

2. Open the Preregistration tab

Click the Preregistration card in the overview, or click the corresponding tab.

Important: If the card appears grayed out, the "Preregistration" module isn't included in your subscription.

3. Enable the feature

Turn on the Enable Visit Preregistration option.

Configure the options

Option

Description

Allow visitors to preregister X minutes before the scheduled appointment time

The visitor can check in X minutes before their appointment. If the visitor arrives earlier, they won't find their pre-registration.

Invitation Policy

Choose when to send the invitation email: Always or Never

Invitation timing

If the invitation is automatic, how many days before the appointment the email is sent (1 to 30 days)

Invitation default notes

Pre-filled text in the invitation (translatable). Useful for practical information (parking, access, etc.)

Host verification

Send an email to the host to confirm the visit: Always, If new, or Never

💡 Tip: Click Preview emails to see what the invitation email sent to your visitors will look like.

The forwarding email address

A unique forwarding email address is generated for each site. You can forward your calendar invitations (Outlook, Google Calendar…) to this address to automatically create a pre-registration.

The address is displayed at the bottom of the configuration page. Click the copy icon to copy it.

How it works for the visitor

  1. The visitor receives an invitation email with the date, time, location and practical information
  2. On the day of their visit, they scan the QR code on site
  3. The check-in kiosk asks whether they have a pre-registration
  4. They search for their name and select their planned visit
  5. Their form is pre-filled with the pre-registration information (name, company, host, visitor type)
  6. They complete the remaining steps (additional fields, instructions) and their check-in is finalized

💡 Tip: The visitor can also arrive via a direct link in the invitation email, which redirects them to the check-in kiosk with their visit pre-selected.

Good to know

💡 Tip: Pre-registered visits are managed from the Preregistration menu in the main menu. You'll find two tabs there: Planned visits (the list of planned visits) and Pre-registered Contacts (the visitor contact book).

💡 Tip: You can filter pre-registered visits by status: Scheduled, Cancelled, Ongoing, Passed.

Check that the visitor selected their pre-registration on the check-in kiosk.
