Customize invitation emails

Customize the emails sent to your pre-registered visitors: logo, site colors, default practical notes and multilingual translations.

Steps — add multilingual default notes


1. Open the preregistration configuration


Go to Settings > Sites > Your site > Settings & Features > Preregistration.


2. Write your notes language by language


In the Invitation default notes field, use the language selector. For each language you want to cover (French, English, Spanish…), write a short, clear version.


Example in English:
"Visitor parking at the back of the building, ring intercom 3B. Please arrive 5 minutes before your appointment."


3. Preview the result


Click Preview emails and switch languages to validate each translation.


4. Save


Click Save at the bottom of the page.



Good to know


💡 Tip: Notes can be overridden visit by visit. Notes entered when creating a pre-registration replace the default notes for that visit only.


💡 Tip: Would you like a custom sender address (for example reception@mycompany.com)? Write to us — it's possible.



Troubleshooting


Problem

Solution

My notes don't appear in the email

Check that you saved the corresponding language, and that the visitor actually uses that language.

The preview is empty

Make sure at least one language is filled in in the default notes.


If the problem persists, contact our team.
