Enable and configure pre-registration on a site
Enable preregistration on your site, fine-tune the options (time margin before arrival, invitation sending, host verification, multilingual notes) and preview the emails sent to your visitors.

Before you start
- You need an Administrator or Manager account.
- The Preregistration module must be included in your subscription.
Steps
1. Open the site settings
In the left-hand menu, go to Settings > Sites. On your site's card, click Settings & Features.

2. Enable the Preregistration card
Click the Preregistration card in the overview, then toggle the Enable Visit Preregistration option.

⚠️ Important: if the card appears grayed out, the module isn't included in your subscription. Write to us to enable it.
3. Configure the options
Each option lets you fine-tune the behavior:
Option | What it does | Advice |
|---|---|---|
Allow visitors to preregister X minutes before the scheduled appointment time | How many minutes before their time slot the visitor can already check in at the kiosk. | 30 to 60 minutes is a good balance for visitors arriving early. |
Invitation Policy | Always: the visitor receives an automatic email. Never: no email (useful if you handle communication yourself). | Leave it on Always if you want the visitor to receive their information without doing anything. |
Invitation timing | How many days before the appointment the email is sent (1 to 30 days). | 1 or 2 days before: early enough to get organized, close enough not to be forgotten. |
Host verification | Always: an email is sent to the host to confirm the visit. If new: only for people who have never visited before. Never: no verification. | If new is ideal for access-controlled sites. |
Invitation default notes (multilingual) | Pre-filled text in the invitation email, translatable per language. Perfect for practical information (parking, door code, floor…). | Keep it short and concrete — the visitor should be able to scan it in 5 seconds. |

4. Write your default notes in several languages
In the Invitation default notes field, use the language selector to write one version per language. Think of cases like an English-speaking visitor looking for the parking lot.
5. Preview the emails
Click Preview emails at the top right to see how these will look:
- the invitation email sent to the visitor,
- the verification email sent to the host (if enabled).
Switch languages in the preview to validate each translation.
6. Save
Click Save. The configuration takes effect immediately for all new pre-registered visits.

💡 Tip: Each site also has an invitation email address to automatically create pre-registrations from Outlook or Google Calendar. See Configure the calendar import address.
💡 Tip: Pre-registered visits are managed from the Preregistration menu in the sidebar, which shows two tabs: Planned visits (the list of planned visits) and Pre-registered Contacts (your directory of visitors who have already come).
Troubleshooting
Problem | Solution |
|---|---|
The Preregistration card is grayed out | The module isn't included in your subscription. Contact us. |
The visitor can't find their visit on the kiosk | Check that the time margin is sufficient. If the visitor arrives earlier than the configured margin, their visit doesn't appear yet. |
The invitation email isn't sent | Check that Invitation Policy is set to Always. |
The form isn't pre-filled | Check that the visitor selected their visit on arrival (otherwise they start a blank check-in). |
