Enable advance check-in for your pre-registered visitors

Advance check-in lets your pre-registered visitors prepare their visit online, before they arrive: they fill in their information, accept your entrance instructions and take your security quiz from their phone or computer. On the day, their check-in at the kiosk is almost instant. This guide shows you how to enable and configure it.

Before you start


  • You need an Administrator or Manager account on the site concerned
  • Visit preregistration must be enabled on your site (advance check-in only works for pre-registered visits)
  • For the preparation link to appear in the invitation, your site must have at least one step to prepare: entrance instructions enabled, a security quiz enabled, or at least one custom field offered during advance check-in (see below). If you use per-visitor-type settings, the instructions and the quiz are assessed for the contact's visitor type.
  • The only exception: a pre-registration created with only the visitor's email address always gets the link, even without any configured step, because the visitor has to complete their identity.



How it works, in a nutshell


  1. You enable advance check-in on the site.
  2. When creating a pre-registration, you tick "Let the visitor complete their information before their arrival".
  3. The invitation email sent to the visitor automatically includes a Prepare my visit button. There is no link to generate or copy.
  4. The visitor prepares their visit at their own pace, in one or several sessions, until they arrive.
  5. At the kiosk, everything they have already completed online is skipped.



Steps


1. Enable advance check-in on the site


In the left-hand menu, go to Settings > Sites. On your site card, open the settings, then the Preregistration tab.


In the Advance check-in section, turn on the Enable advance check-in switch.


💡 Tip: this tab also holds the invitation timing. If you send invitations several days before the visit, your visitors will have plenty of time to prepare.


2. Choose which custom fields to offer online


By default, no custom field is offered during advance check-in: you decide field by field.


  1. Go to your site settings, Custom Fields tab (fields asked at check-in).
  2. Open the field you want to offer online.
  3. Turn on the Ask during advance check-in option (for an information block, the option is called Show during advance check-in).
  4. Save.


⚠️ Important: only fields asked at check-in can be offered during advance check-in. Fields asked at check-out are not concerned. Page breaks automatically follow the fields they surround: nothing to configure.


3. Check your entrance instructions and security quiz


Entrance instructions and the security quiz are offered during advance check-in as soon as they are enabled on your site (Visitor Instructions and Security Quizz tabs of the site settings). No extra setting is needed.


  • Instructions disabled → no "Entry instructions" step online
  • Quiz disabled → no "Safety questionnaire" step online


If you use per-visitor-type settings, the settings of the contact's visitor type apply: a quiz enabled only for Contractors is offered online to Contractor contacts, and to them only.


4. Offer online preparation when pre-registering a visit


  1. In the left-hand menu, go to Preregistration and click the add button.
  2. Pick the visit's site first: until a site is selected, the online preparation switch is greyed out.
  3. Fill in the rest of the visit (date, host) and the contact.
  4. In the visitor information, turn on Let the visitor complete their information before their arrival.
  5. Confirm.


💡 Tip: with this option, you can create a pre-registration knowing only the visitor's email address. They will fill in their own first name, last name and company through the preparation link. In the meantime, their email is displayed instead of their name in your lists.


5. Track your visitors' preparation


Open a pre-registration from Preregistration > Planned visits. Until the visitor arrives, an Advance check-in section shows you:


  • the preparation status: Partial or Completed
  • the date the instructions were accepted
  • the security quiz answers and the pre-filled answers to the custom fields


Once the visitor has arrived, their answers are transferred into their visit: find them under Visitors, like any other visit. In the visit's Safety section, instructions accepted online show the Accepted online status.



Good to know


💡 The "Prepare my visit" button only appears if there is something to prepare. If your site has no instructions, no quiz and no field offered online for the contact's visitor type, the invitation is sent without the button, even with advance check-in enabled. Only a contact whose identity is still to be completed (email-only pre-registration) gets the button in every case.


💡 The visitor can come back to the link as often as they like until they arrive, and complete it in several sessions. They can change their answers to the custom fields. However, their identity once confirmed, the instructions once accepted and the correct quiz answers are not asked again.


💡 The security quiz is graded without ever revealing the correct answers. The visitor gets 3 attempts per question. If they fail, they are not blocked: the quiz will simply be asked again at the kiosk on the day of their visit. Their other information stays saved.


💡 Online preparation serves the first check-in. For an extended access with several check-ins, the following visits follow the usual Safety history rules (revalidation delays, field frequencies): nothing is skipped "forever".


⚠️ The link automatically stops working as soon as the visitor is checked in, if the visit is cancelled, if the visit's end date has passed (an open-ended extended access never expires), or if you disable advance check-in or preregistration on the site.


⚠️ Each visitor gets their own link, but it requires no authentication: anyone who has it can prepare the visit. It is sent only to the visitor's email address. Advise your visitors not to forward it.



Troubleshooting


Problem

Solution

The "Let the visitor complete…" option is greyed out in the pre-registration form

No site is selected yet: pick the visit's site first.

The "Let the visitor complete…" option does not appear at all

Advance check-in is not enabled on the selected site. Enable it under Settings > Sites > your site > Preregistration.

The invitation does not include the "Prepare my visit" button

Check that advance check-in is enabled on the site and that at least one step exists for the contact's visitor type (instructions, quiz, or a field with "Ask during advance check-in"). Also check that the option was ticked on this pre-registration.

A custom field is not offered online

Open the field and check that Ask during advance check-in is turned on. Check-out fields are never offered online.

The visitor sees "Invalid link"

The link has been deactivated (visit cancelled or past, advance check-in or preregistration disabled on the site). The visitor can complete their information at the kiosk on the day.

The visitor sees "You are already checked in"

Their check-in has already been recorded at the kiosk: there is nothing left to prepare.

The preparation status no longer appears in the pre-registration

This is expected once the visitor has arrived: their answers have been transferred into their visit, available under Visitors.
