Configure Entrance Instructions

Entrance instructions are the rules or information your visitors must read and accept before completing their check-in (site rules, safety instructions, privacy policy, accessibility instructions…). This guide shows you how to write and enable them.

Before you start


  • You need an Administrator or Manager account on Anghello
  • At least one site must be created


Enable entrance instructions


1. Open your site settings


In the left-hand menu, go to Settings > Sites. On your site card, click Settings & Features.


2. Open the Visitor Instructions tab


Click the Visitor Instructions card in the overview, or select the corresponding tab.



3. Enable the instructions


Turn on the Enable Instructions Feature option.

4. Write the content of your instructions


Once instructions are enabled, an editor appears. It is a block editor: your document is made up of a series of blocks (paragraphs, headings, images, pictograms…) that you add, format, and rearrange freely.



💡 Tip: For a more comfortable writing experience, click the fullscreen icon at the top right of the editor. Click it again to return to the normal view.


Start writing


The first time you open the editor, it offers several starting points:


  • Blank content: start from a blank page
  • From our instruction template: a ready-to-use instruction template you can adapt to your site
  • Duplicate instructions from another visitor type: if you have already written instructions for another visitor type


💡 Tip: The template is a great starting point: it showcases most of the available blocks (headings, pictograms, color styles, page breaks…).


Add a block


Click the + button that appears to the left of an empty line (or press the Tab key) to open the Add menu. The following blocks are available:

A regular paragraph of text. This is the default block: press Enter to create a new one.

Heading 1, Heading 2, Heading 3

Three heading levels to structure your instructions.

List

A bulleted or numbered list. Lists can be nested over several levels (Tab to indent).

Picto Box

A callout illustrated with a safety pictogram, ideal for highlighting a key instruction (see Pictograms below).

Picto List

A row of pictograms side by side, for example to show the required PPE at a glance.

Image

An image uploaded from your computer (site map, photo of an assembly point…).

Video (Vimeo/Youtube)

A video hosted on YouTube or Vimeo, embedded directly in the instructions.

Divider

A horizontal line to add breathing room and visually separate sections.

Page Break

Splits the instructions into several screens on the check-in kiosk (see Page breaks below).



💡 Tip: Use page breaks to split a long document into several screens. On the check-in kiosk, the visitor will move between pages with the Back and Next buttons.


Format text


Select some text to bring up the formatting toolbar:


  • Bold: for important words
  • Italic: for nuances or clarifications
  • Underline
  • Text color: apply a color to your selection from the palette
  • Highlighter: highlight a passage to draw the eye


Block styles


Each text or heading block can be given a colored background style. Click the ⋮⋮ icon to the left of the block (Click to tune menu), then choose a style:

💡 Tip: These colors follow safety signage conventions (red = prohibition, blue = obligation, yellow = warning, green = evacuation/first aid). Use them consistently with your pictograms and your instructions will be understood at a glance.


The same menu also lets you set the block's text alignment: left (default), centered, right, or justified.


Pictograms


The Picto Box and Picto List blocks rely on a library of standardized safety pictograms, organized by family:





  • Prohibition Pictograms: prohibited actions or behaviors
  • Obligation Pictograms: specific instructions to follow (PPE requirements…)
  • Warning Pictograms: potential risks, calls for caution
  • Fire Pictograms: firefighting equipment and instructions
  • Evacuation and Safety Pictograms: health, evacuations, and emergencies
  • Hazard pictograms: hazardous chemical substances (CLP regulation)
  • Other Pictograms: various informational pictograms


With Picto Box, choose a pictogram then write the instruction text next to it: the block automatically adopts the color style matching the pictogram's family (you can change it afterwards). Click the pictogram at any time to change it.


With Picto List, click Add a Pictogram as many times as needed to build your row. Double-click a pictogram to remove it.


💡 Tip: Missing a pictogram? Use the Contact Support link at the bottom of the selection window to request it.


Images


The Image block lets you upload an image from your computer: access map, assembly point location, photo of a piece of equipment…


Once the image is inserted, choose its display size: Small Size, Medium Size, or Original Size.


Page breaks


On the check-in kiosk, instructions that run too long on a single screen discourage reading. The Page Break block splits your document into several pages: the visitor moves from one page to the next with the Back and Next (x/y) buttons, and must go through every page before they can accept.


💡 Tip: A good practice is to dedicate one page per topic: welcome and general instructions, safety, fire and evacuation, privacy…


Reorder, move, delete


  • Move a block: grab the ⋮⋮ handle to the left of the block and drag it where you want, or use Move up / Move down in the block menu.
  • Delete a block: open the block menu and click Delete, then click again to confirm.
  • Undo / redo: Ctrl+Z / Ctrl+Y (or Cmd+Z / Cmd+Shift+Z on Mac) work at any time in the editor.


Don't forget to click Save once you are done writing.


Configure the revalidation period


Set the number of days before a regular visitor must read and accept the instructions again:


  • 0 days: the visitor must accept the instructions at each visit
  • 30 days (example): if the visitor returns within 30 days, they don't need to read the instructions again


Important: To exempt a visitor from re-reading the instructions, Anghello must be able to recognize them from one visit to the next. The revalidation period therefore applies in two cases:


  • Pre-registered visits: the visitor is identified through their invitation
  • Visitors who check in from their own smartphone: their acceptance is stored in their phone's browser (requires the Virtual Badge feature to be enabled)


However, during a walk-in check-in on the reception tablet, the device is shared by all visitors, so the instructions are shown at every visit, regardless of the configured period.


💡 Good to know: Any change to the instruction content resets the clock: every visitor will have to read and accept the new version at their next visit, even if their revalidation period has not elapsed.


Click Save.


Translate your instructions


If your site welcomes international visitors, you can write your instructions in several languages.


1. In the instruction editor, click the language selector in the translation bar.


2. Select the language you want (French, English, German, Dutch…).


3. Two options are available:

  • Blank content: start from a blank page
  • Duplicate default instructions: generates the default instructions translated into the selected language


4. Edit the content if needed, then save.



💡 Tip: On the check-in kiosk, the instructions are automatically displayed in the language chosen by the visitor. If no translation is available in their language, the default instructions are shown.


Instructions per visitor type


If you have enabled Visitor Types, you can write different instructions for each type.


1. At the top of the settings page, select the visitor type in the selector.


2. Write specific instructions for that type.


For example:

  • Suppliers must read reinforced safety instructions
  • Candidates only see a welcome message
  • Clients must accept a nondisclosure agreement


💡 Tip: You can copy the instructions from another visitor type to save time and adapt them.


How it works for your visitors


On the check-in kiosk, the instructions appear after the check-in form:


  1. The visitor sees the instruction content, page by page if page breaks are set
  2. They must scroll to the bottom of each page to continue
  3. They click I have read and accept to validate the instructions
  4. Their check-in is completed


Important: The Accept button stays grayed out until the visitor has scrolled to the bottom of the instructions. This guarantees they have seen the entire content.


Good to know


💡 Tip: Visitors can re-read the instructions from their virtual badge after check-in (if the virtual badge is enabled).


💡 Tip: Use the editor's fullscreen mode for a more comfortable writing experience.


Important: Changes are applied in real time on the check-in kiosk. New visitors will immediately see the updated instructions.


Troubleshooting


Problem

Solution

The instructions don't appear on the kiosk

Check that the instructions are enabled and that content has been written. Refresh the kiosk.

The visitor doesn't see the right language

Check that a translation exists for the language chosen by the visitor.

The Accept button stays grayed out

The visitor must scroll to the bottom of the instructions. This is expected behavior to guarantee the instructions are read.

The instructions differ from what I wrote

Check that you have selected the right visitor type in the selector at the top of the page.
