Adding a user (receptionist, manager…)

Users are the members of your team who access the Anghello admin interface. Each user has a role that determines their permissions. This guide shows you how to invite a new member.

Before you start


  • You need an Administrator account on Anghello
  • Only administrators can invite new users

Inviting a user


1. Open the Users page


In the left-hand menu, open the Configuration section, then click Users.



2. Click New user


Click the New user button at the top of the page.


3. Fill in the details


  • First name and Last name of the future user
  • Email — the address the invitation will be sent to
  • Role — select the role from the list:
  • Administrator (global access)
  • Site Manager (per site)
  • Site Receptionist (per site)
  • Allowed authentication methods — tick the methods the user will be able to sign in with:
  • Password
  • Google (Google Workspace)
  • Microsoft (Azure AD / Microsoft 365)



4. Send the invitation


Click Send invitation. An email with a secure link is sent to the future user.


💡 Tip: Invitations have an expiration date. If one expires before the user accepts it, you can resend it from the invitation list.


Managing pending invitations


Invitations that haven't been accepted yet appear in a separate table below the list of active users.


For each invitation, you can:


  • Resend the invitation email
  • Edit the invitation's role
  • Delete the invitation



Creating an Evacuation account


The Evacuation role is the most restrictive account in Anghello. It's intended for evacuation wardens, guides, and first aiders who don't need day-to-day access to the visitor register.


It comes in two variants:



Personal account

QR code account

Sign-in

Email + password or SSO

Scan a QR code (no password)

Who uses it

Identified staff member with a personal account

Any authorized person on site

Use case

Designated evacuation warden in a fixed position

24/7 shift sites, staff turnover, backup when the designated person is absent

Traceability

Named (you know who signed in)

Per account ("Evac - North Point"). The admin is notified on every scan


Creating a personal Evacuation account


The procedure is the same as inviting a regular user (see above). Select the Site Evacuation role for the relevant site at step 3.


Creating a QR code Evacuation account


Before you start — why is a QR code account different? A QR code account is not a personal account: it's a shared-purpose account. The First name / Last name fields serve as the label shown on the QR poster and in the logs, and the email address is the one that receives the verification email and the notifications tied to this position.


  1. Go to Configuration > Users
  2. Click New user
  3. Select the Site Evacuation role
  4. Tick QR code access
  5. Enter the account's email address: use an existing functional email in your organization — preferably not an individual employee's address if that person needs another role in your portal: qhse@your-company.com, security@your-company.com, frontdesk@your-company.com, etc., or an alias redirected to a shared mailbox.
  6. Enter the account's label (First name + Last name fields): these two fields only serve to identify the position in the interface, the scan logs, and the evacuation notifications. They don't refer to a person. Recommended convention: First name = QRCode Evac (or Evac), Last name = the location or position, e.g. North Point, Visitor Parking, Building A, Morning Shift…
  7. Send the invitation. The verification email is sent to the functional address you entered.
  8. Once the email is verified, the QR code is generated automatically and available from the account's menu.



An existing personal account (e.g. john.smith@company.com - Site Manager) cannot be converted into a QR code account. For security reasons, you must create a dedicated account with a dedicated email address. This account's role cannot be changed once created.


Printing and deploying the QR code


  1. In the user list, open the Evacuation member's menu
  2. Click View/Manage QR code
  3. Print the A4 poster and laminate it
  4. Store it in a secure location (evacuation pack, locked box). Never display it in a publicly accessible area.

Suspending or reactivating a user


If a team member leaves temporarily, you can suspend their account rather than delete it.


1. In the user list, open the actions menu for the user concerned.


2. Click Suspend.


A suspended user can no longer sign in, but their account and data are kept. You can reactivate them at any time.


Deleting a user


1. In the user list, open the user's actions menu.


2. Click Delete and confirm.


Important: Deleting a user is irreversible. If in doubt, suspend instead.


Good to know


💡 Tip: A user can have a different role on each site — for example, manager on the "Headquarters" site and receptionist on the "Lyon Office" site.


💡 Tip: The "Last sign-in" column helps you spot unused accounts.


Troubleshooting


Problem

Solution

The user didn't receive the invitation

Check the email address you entered and ask them to check their spam folder. You can resend the invitation.

The invitation has expired

Resend it from the pending invitation list.

The user can't sign in with Google/Microsoft

Check that the corresponding authentication method is ticked in the invitation.

The Invite button doesn't appear

Only Administrators can invite new users.

The evacuation QR code no longer works

The account may have been regenerated or deleted. Check in Configuration > Users > member menu > View/Manage QR code.

An Evacuation member doesn't receive alerts

Check that their account is still active and that email notifications are enabled in the site settings.
