3. Setting up evacuations in Anghello

Before you start


Before configuring Anghello, make sure you have:




Step 1: Map your responders to Anghello roles


Go through your list of evacuation responders (safety organization chart, evacuation plan) and identify who will need Anghello access during an evacuation. Use the decision matrix to pick the right access type — not every responder needs an account: for Evacuation roles, a shared QR code in the evacuation pack can be enough.


  • Full access (visits + evacuations + settings): Manager account
  • Visit management + evacuations: Receptionist account
  • Evacuation only: Evacuation account (personal or QR code)
  • Read-only information: secondary contact (no account)


Step 2: Create the user accounts


Accounts are created from Users > Add a member. Select the appropriate role (Manager, Receptionist, or Evacuation), the site, and confirm.


For Evacuation accounts, choose between:


  • a classic personal Evacuation account (email + password or SSO) for an identified staff member;
  • a dedicated QR code Evacuation account (no password, QR code generated immediately — ready to slip into the evacuation pack).



For the detailed procedure:



Give your QR code accounts explicit names so you can identify them in logs and notifications (e.g. "Evac - Morning Shift", "Evac - North Point"). Anghello lets you create several QR code accounts on the same site (one QR code per assembly point, for example).


Step 3: Configure notifications


When an evacuation is triggered, Anghello automatically sends alerts:

On the check-in kiosk (Spot app), a red banner appears with the evacuation message. The banner can be tapped to show or hide the full message. It disappears automatically when the evacuation is closed.


The secondary contacts' view link stops working as soon as the evacuation is closed.


To configure secondary contacts' email addresses and phone numbers, go to Sites > Settings > Evacuations. See Evacuation settings for the full list of options.

Important: SMS notifications require SMS credits. Check your balance in the settings.


Push notifications to visitors: Visitors who checked in with their smartphone (QR code) and enabled browser notifications receive a push notification telling them an evacuation is in progress. This only applies to visitors who explicitly accepted browser notifications during check-in. It does not replace your alarm system.


Step 4: Deploy the QR codes on site


  1. Print the A4 poster from Anghello (Users > member menu > View/Manage QR code)
  2. Laminate the poster (recommended if it may be used in the rain, for example)
  3. Store it in a secure location out of public view: sealed evacuation pack, locked box, safety cabinet. The QR code must never be displayed in an open area.
  4. Test scanning from the storage location to check that the QR code is readable and network coverage is sufficient

Important: The QR code is a passwordless access key. Treat it with the same level of confidentiality as an access badge, and never display it in a publicly accessible area. See QR code security for the complete security rules.


Add the QR code to your evacuation pack


If your site uses an evacuation pack (or evacuation case), slip the laminated QR code poster into it. It's the digital equivalent of your paper register — except it's always up to date and accessible from any phone. Everything else in your pack stays the same.


The evacuation warden — last to leave the area — is the natural user of this QR code: they grab the pack on the way out, scan the code, and get the live, up-to-date list.


Regularly scan the QR code in the pack to check it's still active. If the account has been regenerated from the portal, the old poster will no longer work.


What about the check-in tablet?


If your site uses a tablet for visitor check-in, it can also be used at the assembly point to scan the QR code. Note: the check-in tablet runs the visitor app (Spot), not the management portal (Admin). To use it during an evacuation, scan the QR code with the tablet's camera. Make sure a SIM card is installed for 4G coverage outside the building.


Step 5 (optional): Install Anghello on your role holders' phones


Anghello is a progressive web app (PWA). Your role holders can install it directly on their home screen, no app store required:


  1. Sign in to app.anghello.co from the phone's browser
  2. Open the user menu (top right)
  3. Tap Install


The benefit: one-tap access, without opening the browser. In an emergency, every second counts.
