2. Roles and access: who does what during an evacuation?

For: QHSE Managers, Safety Officers, Site Managers
Application: Admin (app.anghello.co)
Estimated time: 3-minute read

Anghello offers four access levels for evacuations, from the most complete to the most restricted. Each level matches a responder profile and a different need in the field. This page helps you decide which access to give to whom.

The 4 access levels

From the most permissive to the most restricted:

Level

Who

Evacuation rights

Other rights

βš™οΈ Administrator / Manager

QHSE, Site Managers

Trigger, roll call, close, view history

Full site management (visitors, accounts, settings)

πŸ–₯️ Receptionist

Front desk staff

Trigger, roll call, close

Day-to-day visit management

🚨 Evacuation (personal or QR code)

Evacuation wardens, guides, first aiders, shift backups

Trigger, roll call, close, view the on-site list

None. No access to the visitor register, settings, or history

πŸ“© Secondary contact

First aiders, security guards, on-call staff, emergency services (fire & rescue, incident commander)

View the list in read-only mode (temporary link shared by the evacuation coordinator)

No Anghello access. Receives a link by email/SMS when the evacuation is triggered, or handed over directly in the field

Important: Don't confuse the Evacuation role (the account type) with the evacuation feature (triggering and managing an evacuation), which is available to all the roles above.

The Evacuation role in detail

The Evacuation role is the most restrictive account in Anghello. It comes in two variants: a classic personal account or a QR code account:

Personal account

QR code account

Sign-in

Email + password or Azure SSO

Scan a QR code (no password)

Who uses it

Identified staff member with a personal Anghello account

Any authorized person present at the assembly point

Use case

Designated evacuation warden in a fixed position

24/7 shift sites, staff turnover, backup when the designated person is absent

Security

Individual authentication, named audit trail

Physical access to the QR code = dashboard access. Admin notified on every scan

Decision matrix: which access for which need?

Situation

Recommended access

Mode

Why

QHSE / Site Manager who manages visitors day to day

Site Manager

Personal account

Needs full access (visits + evacuations + settings)

Front desk staff / security desk registering and/or screening visitors

Receptionist

Personal account

Visit management + evacuations

Designated evacuation warden, always the same person

Evacuation

Personal

Restricted access, individual audit trail

Evacuation warden on rotating shifts / high staff turnover

Evacuation

QR code

No day-to-day need β€” the QR code is enough

Backup when the designated person is absent

Evacuation

QR code

Emergency access only β€” guarantees someone can always act

First aider / security guard who must be informed but doesn't run roll call

Secondary contact

No account

Read-only access via notification

Emergency services (fire & rescue, incident commander) in the field

Secondary contact

No account

Link shared by the evacuation coordinator, real-time view without creating an account

Favor personal accounts for your identified role holders, and keep the Emergency Evacuation QR code as a fallback access in the evacuation pack.
