Register your regular visitors as visitor contacts

A visitor contact is someone Anghello recognizes from one visit to the next: they can be pre-registered again in two clicks and benefit from the Safety history (instructions, quiz and fields not needlessly asked again). This guide shows you how to turn a one-time visit into a contact, manually or automatically.

Before you start


  • Visit preregistration must be enabled on your site
  • You must be an Administrator, or a Manager / Receptionist of the site where the visit took place
  • A visit already linked to a pre-registration already has its contact: nothing to do



Steps


Option A — Convert a visit manually


  1. In the left-hand menu, go to Visitors and open the visit concerned.
  2. In the actions menu, click Convert to visitor contact.
  3. The window is pre-filled with the first name, last name, company and — if an email-type custom field was filled in — the email address. Complete or correct as needed. The email is optional.
  4. Click Convert.


Result:


  • If a contact with the same email (or, without an email, the same first name + last name + company) already exists, the visit is attached to it: message Visit attached to the existing visitor contact.
  • Otherwise, a new contact is created: message Visitor contact created.
  • In both cases, the contact's Safety history is fed with what actually happened during this visit: the quiz answers, and the instructions only if the visit carries the Accepted at check-in or Accepted online status (visit's Safety section). If the instructions step was skipped, or if the visit predates this feature, nothing is recorded for the instructions: the contact will be asked them once on their next pre-registered visit.


After conversion, the View the visitor's contact record action takes you straight to their record.


Option B — Create contacts automatically


You can let Anghello register as a contact every one-time visitor who has met your safety requirements.


  1. Go to Settings > Sites > your site > Preregistration tab.
  2. In the Automatic contacts section, turn on Automatically register compliant visitors as contacts.
  3. Save.


From then on, at every check-in of a visitor without a pre-registration who has accepted the instructions and/or taken the quiz (depending on what is enabled on the site), a contact is created with their safety history.


A visitor already known as a contact is linked to their record on every check-in, even when the instructions are not asked again (a still-valid acceptance remembered on the device): their visit history stays complete. A skipped step, however, adds nothing to their Safety history.


⚠️ Important: this setting is off by default and commits you to retaining personal data. Enable it knowingly and check your GDPR notices.



Good to know


💡 The email comes from the email-type custom field. If your check-in form has none, automatic contacts are created without an address: they cannot receive invitations until you fill in their email in their record.


💡 Automatically created contacts are marked "Not verified" (self-declared data at the kiosk), whereas a manual conversion marks the contact as "Verified": you are vouching for the identity.


💡 A visitor who asks for their visit to be anonymized is never converted, neither automatically nor manually: the Convert to visitor contact action is not offered on their visit.


💡 The Safety history kicks in from the contact's next pre-registration. A regular who keeps coming without a pre-registration will still be asked everything at the kiosk.


💡 No setting has any effect if neither the instructions nor the quiz are enabled on the site: a visitor cannot be "compliant" without a requirement.



Troubleshooting


Problem

Solution

The Convert to visitor contact action does not appear

The visit is already linked to a pre-registration or to a contact, has been anonymized, or the visitor asked for their visit to be anonymized. Also check that you are a Manager or Receptionist of the visit's site.

The message "The conversion failed" appears

Try again: an interrupted conversion resumes where it stopped. If the error persists, check the format of the email address entered.

A duplicate contact was created

Matching is done on the email, or failing that on an identical first name + last name + company. A spelling difference or a missing company creates a new contact. Fix the record under Preregistration > Pre-registered Contacts.

Automatic contacts are not created

Check that the setting is enabled on the right site, that the instructions and/or quiz are enabled, and that the visitor actually completed them. A one-letter last name is not registered as a contact.

A visit from a known contact shows as a "One-time visitor"

Matching is done on the email, or failing that on an identical first name + last name + company: a different entry at the kiosk prevents the link to the existing record.

A converted contact is asked the instructions again on their next visit

The instructions were only recorded if the converted visit carries the Accepted at check-in or Accepted online status. In the other cases, they are asked once and then remembered.
