Configure the Safety history
The Safety history avoids needlessly asking your visitor contacts the instructions, the security quiz and the custom fields again. This guide shows you how to set what is asked again and how often: revalidation delay for the instructions, for the quiz, and re-ask frequency of each custom field per visitor type.
Audience: Administrators, Managers
Application: Admin (app.anghello.co)
Estimated time: 10 minutes
Before you start
- You need an Administrator or Manager account on the site concerned
- Visit preregistration must be enabled on your site
- If you are new to the feature, read "Discover the Safety history" first
Steps
1. Set the revalidation of entrance instructions
Under Settings > Sites > your site > Visitor Instructions tab, set the field Revalidation of agreements is required every: X days.
- 0 days: the instructions are asked again at every visit
- N days: the instructions are only asked again after N days, or as soon as you edit their content
💡 Tip: only a change to the instructions' text triggers a revalidation for everyone. Saving the tab without changing the text (enabling, delay) asks nothing again from your contacts.
2. Set the revalidation of the security quiz
In the Security Quizz tab, set the field Revalidation of the induction is required every: X days.
- 0 days: the quiz is asked again at every visit
- N days: the quiz is asked again after N days
Whatever the delay, the quiz is always asked again if you edit a question or the text of the entrance instructions.
💡 Tip: both settings work the same way: "0 days" means "ask again at every visit", for the instructions as for the quiz.
3. Set the re-ask frequency of a custom field
Each custom field asked at check-in can have its own frequency, per visitor type.
- Go to the site settings, Custom Fields tab.
- On the field concerned, open the menu (⋮) then click Ask to (or Re-ask frequency if visitor types are not enabled).
- In the Re-ask frequency section, choose for each visitor type (and for "No type"):
Frequency | Behavior |
|---|---|
Every visit | The field is asked again at every visit (default setting) |
Once | Asked once, then never again — unless you edit the field |
Once a day | Asked again at most once per calendar day |
Once a week | Asked again at most once per calendar week |
Once a month | Asked again at most once per calendar month |
- Confirm.
💡 Tip: "Once a day / week / month" means calendar periods, in your site's time zone. Two visits on the same day = one ask; one visit on Monday and one on Tuesday = two asks.
💡 Tip: editing a field (label, options…) makes it asked once again to all your contacts, whatever its frequency. Handy to force an update.
Good to know
💡 Each visitor type has its own frequency. A field can be "Once" for Contractors and "Every visit" for Delivery drivers. The "No type" setting applies to contacts without a visitor type; it is not inherited by the other types.
💡 The frequency only concerns visitor contacts. One-time visitors without a pre-registration or a contact are always asked.
💡 Everything is set site by site. Delays, frequencies and the memory itself are specific to each site: a contact who validated the instructions on one site validates them again on another.
💡 Nothing changes as long as you don't touch anything. By default, every field is "Every visit": the historical behavior is kept.
Troubleshooting
Problem | Solution |
|---|---|
A "Once" field is asked again | The field has probably been edited since the last answer (label, options). Also check the frequency set for this visitor type: each type has its own. |
The quiz is asked again although the delay has not elapsed | A quiz question or the text of the entrance instructions has been edited: this always triggers the quiz again. Also check that the quiz revalidation delay is not set to 0 days. |
The instructions are asked again at every visit | The instructions revalidation delay is set to 0 days. Enter a number of days. |
I can't find the Re-ask frequency section | It is in the field's menu (⋮), Ask to entry. Only fields asked at check-in have it. |
