Discover the Safety history

The Safety history is Anghello's memory of your recurring visitors: entrance instructions accepted, security quiz taken, information already provided. Thanks to it, a visitor contact is only asked again for what is actually due on each new visit. This guide explains how it works and how to view it.

Audience: Administrators, Managers, Receptionists
Application: Admin (app.anghello.co)
Estimated time: 5 minutes

Before you start

  • Visit preregistration must be enabled on at least one of your sites
  • The Safety history only concerns visitor contacts (pre-registered visitors or visitors converted to a contact). A one-time visitor without a contact is asked everything at the kiosk, with one exception: when the virtual badge is enabled, the device remembers their acceptance of the instructions during the revalidation delay.

How it works

A concrete example with a regular delivery driver:

  • First visit as a Delivery driver: instructions, quiz and every custom field are asked.
  • Second visit (same visitor type, same site, nothing has changed, within the time limits): instructions and quiz are skipped. Only the fields set to "Every visit" are asked again.
  • You edit a quiz question: the quiz is asked again to everyone on their next visit.
  • That same contact comes one day as a Contractor: they start from scratch for that type. The Safety history is kept separately for each visitor type.

The rule is always the same: whatever was completed online for this visit (advance check-in) is skipped at the first check-in; otherwise the Safety history decides; when in doubt, everything is asked.

⚠️ Important: the Safety history is kept per site. Instructions accepted on one site do not count for your other sites: the contact will validate them again on their first visit to each site, even with the same visitor type.

Steps

1. View the Safety history

In the left-hand menu, click Safety history. The page lists, for each visitor contact, each site and each visitor type (Passed as column):

  • the last instructions pass
  • the last induction pass (security quiz)
  • the induction answers, with the number of attempts per question

Filter by contact with the Filter by contact field, or by site with the site selector at the top of the screen.

2. View a contact's Safety history

  1. Go to Preregistration > Pre-registered Contacts tab.
  2. Open a contact's record.
  3. The Safety history section summarizes their passes by site and visitor type. The View in safety history link opens the full page, already filtered on this contact.

3. Read a visit's safety status

Under Visitors, open a visit. The Safety section shows, on the Instructions line, how they were handled for this visit. Hover over the badge to read the full sentence.

Status

Meaning

Accepted at check-in

The visitor accepted the instructions at the check-in kiosk

Accepted online

The visitor accepted them online, before their visit (advance check-in)

Already valid (history)

Skipped: a previous, still-valid acceptance by this contact was verified in the Safety history

Already valid (device)

Skipped for a one-time visitor: the device remembered a still-valid acceptance (virtual badge)

Skipped, unverified

The kiosk did not ask the instructions, but no still-valid acceptance could be confirmed in the Safety history. Consider that the instructions were not accepted for this visit

Not required

Instructions were not enabled for this visit

Undetermined (incident)

The site configuration could not be loaded at check-in time: the status could not be established

Not collected (API)

Visit created through the API: the instructions journey did not take place

Already validated

Former status, seen on visits predating the history / device distinction

Unknown

Visit predates this feature

Below this status, the same section recalls the contact's durable memory: Last instructions pass and Last induction pass (or a merged Last safety induction pass line when both date from the same moment).

The visit kind (One-time visitor, Visitor contact, Visitor contact with pre-registration) and the Instructions quiz answers are shown in the same place.

Good to know

💡 One-time visitors are not concerned. For a regular to benefit from the Safety history, register them as a visitor contact (see the dedicated article).

💡 The quiz is recorded as "taken", not "passed". A visitor who fails the quiz at the kiosk is still let in (your team is notified) and the quiz will not be asked again before the next deadline or the next change. Online (advance check-in), on the other hand, only a passed quiz is recorded.

💡 Only an actual acceptance feeds the history. A visit whose instructions were skipped ("Already valid", "Skipped, unverified") adds no new validation date: the original acceptance date remains the reference.

💡 Quiz answers remain readable in the Safety history, even if the original visit has been deleted by your retention rules.

💡 You stay in control of what is asked again and how often.

Troubleshooting

Problem

Solution

The Safety history menu does not appear

Preregistration must be enabled on at least one site, and your account must be Administrator, Manager or Receptionist.

The Safety history is empty

Entries appear as soon as a visitor contact validates the instructions or takes the quiz. Check the site filter at the top of the screen.

A regular is asked the instructions or quiz again

Check that they are registered as a visitor contact, that they come with the same visitor type and on the same site. Also check that the instructions' text, a question or the revalidation delay have not been changed, and that this delay is not set to 0 days.

A visit shows Skipped, unverified

The kiosk skipped the instructions without the server finding a still-valid acceptance for this contact, type and site (contact deleted in the meantime, or an incident). Have this visitor validate the instructions again on their next visit.

A visit shows Undetermined (incident)

The site configuration could not be loaded at check-in. If it happens again, contact our team.

If the problem persists, contact our team.
