Testing your first visit

Everything is in place? Organization configured, site created, QR code printed, employees added β€” all that's left is to verify that everything works! This guide walks you through step by step to simulate a complete visit, from scanning the QR code to the visitor's departure.


Audience: Administrators

Application: Admin (app.anghello.co) + Spot (welcome kiosk)

Estimated time: 5 minutes


Before you begin


  • Your organization and at least one site must be configured
  • At least one host employee must be added
  • Have your smartphone ready to scan the QR code (or use the option from the admin interface)



This is the most realistic method β€” you experience exactly what your visitors will see.


1. Scan your QR code


Using your smartphone camera, scan the QR code for your site (on the printed poster or from the downloaded image). A link opens in your browser.


2. Choose "Entry"


The welcome kiosk is displayed. You can see your organization's logo and two buttons:


  • Entry β€” To register an arrival
  • Exit β€” To register a departure


Click Entry.



πŸ’‘ Tip: If you have configured multiple languages, a language selector appears at the top right. Visitors will be able to choose their preferred language.


3. Select a visitor type (if enabled)


If you have configured visitor types, a screen prompts you to choose the purpose of your visit (e.g., "Customer", "Supplier", "Candidate"…). Select a type to continue.


πŸ’‘ Tip: Each visitor type can have its own instructions, quiz, and custom fields. It is normal for the form to change depending on the selected type.


4. Fill in the registration form


Enter the requested information:


  • First name β€” Enter a first name (e.g., "John")
  • Last name β€” Enter a last name (e.g., "Test")
  • Company β€” If the field is displayed, enter a company name (e.g., "Test Company")
  • Person to meet β€” Select one of your host employees from the list



πŸ’‘ Tip: Depending on your site's configuration, the host list may be displayed directly or appear when you type the first few letters of the name. Favorite employees appear first.


5. Complete the custom fields (if configured)


If you have added custom fields (license plate, visit purpose…), an additional screen presents them. Fill them in to continue.


6. Read and accept the instructions (if configured)


If you have written entry instructions, they are displayed on screen. Read them and check the acceptance box to continue.



7. Answer the quiz (if configured)


If you have set up a validation quiz, the questions appear one by one. Answer correctly to continue.


8. Welcome! Your visit is registered


A welcome message is displayed with your first name. Depending on your site's configuration, you may see:


  • A virtual badge on your phone with your visit information
  • The name and job title of the person you are visiting
  • A button to call your host directly



Option 2: Test from the administration interface


You can also simulate a visit directly from the administration interface, without a smartphone.


1. Go to the visitors list


In the left menu, click Visitors.


2. Click Add a visitor


Click the Add a visitor button at the top of the page.



3. Fill in the form in the integrated window


A window opens with the integrated welcome kiosk β€” it is exactly the same interface your visitors see on their smartphone. Follow the same steps as in Option 1 (starting from step 2).



πŸ’‘ Tip: If you are following the onboarding guide, the 5th and final step invites you to add your first visitor. By clicking Start, you go directly to the Visitors page.


Verifying that everything worked


After registering your test visit, check these 3 points:


1. The visitor appears in the list


Go back to Visitors from the left menu. Your test visit should appear at the top of the list with:


  • The first and last name entered
  • The name of the selected host employee
  • The arrival time
  • The relevant site


Click on the visitor's row to open the detail panel on the right and verify all the information.



2. The notification was sent


In the visitor's detail panel, check the Notifications section:


  • Email β€” If the host employee has an email address, an arrival notification email should have been sent
  • SMS β€” If SMS notifications are enabled and the employee has a phone number


The status of each notification is displayed (sent, pending, error).


πŸ’‘ Tip: Also check the host employee's inbox β€” the notification email contains the visitor's name, their company, and the arrival time.


3. The onboarding guide is complete


If this was your first visit, the onboarding guide reaches 100% β€” congratulations, your site is operational!



Testing the visitor's departure


To verify that the exit flow also works:


From the smartphone (welcome kiosk):


  1. If you are still on the virtual badge, click the Exit button
  2. Confirm your departure
  3. If exit fields are configured (feedback, remarks…), fill them in


From the administration interface:


  1. In the visitors list, click on your test visit's row
  2. In the detail panel, click the Mark as exited icon (exit icon)
  3. The departure time is displayed in the "Exit" column



Cleaning up your test visit


Your test visit will remain in the visitor history. You can leave it or anonymize it to keep your data clean:


  1. Open the test visitor's detail panel
  2. Check that the visitor has exited (has a departure time)
  3. Click the Anonymize icon (crossed-out silhouette icon)
  4. Confirm β€” the personal data is irreversibly erased


⚠️ Important: Anonymization is irreversible. The visitor's personal data (last name, first name, company) is permanently deleted. Only aggregated data (visit date, site) is retained.

πŸ’‘ Tip: You can redo this test as many times as needed. It is the best way to verify your instructions, custom fields, and notifications before going live.


πŸ’‘ Tip: If you have configured visitor reviews, a satisfaction survey is offered to the visitor after they exit on their virtual badge. Test this step too!


πŸ’‘ Tip: If you have enabled webhooks or the Microsoft Teams integration, check that notifications arrive correctly in your connected tools after registration.


Troubleshooting


Problem

Solution

The QR code does not open when I scan it

Check that QR code registration is enabled in the site settings. If the QR code was regenerated, print a new poster.

The kiosk displays an error message after scanning

Check the QR code security options (VPN, proxy, country filter). Temporarily disable these options for testing.

The host employee does not appear in the list

Check that the employee is linked to the correct site and that they are not deactivated.

The notification was not sent

Check that notifications are enabled in Settings > Sites > Features > Notifications, and that the employee has a valid email address.

The "Add a visitor" button does not appear

Make sure a site is selected in the site selector at the top of the side menu.

The form requests information I did not configure

Check the custom fields and instructions in Settings > Sites > Features.
