Going live with your site

Your site is configured and you have completed your first test visit — well done! Before welcoming your first real visitors, here is a checklist to ensure everything is in order. Review each point for a smooth launch.

Before you begin


  • You must have completed the previous steps of the "Getting started with Anghello" guide
  • At least one test visit must have been completed (see "Testing your first visit")


Go-live checklist


Review each section below. When everything is checked, your site is ready to welcome real visitors!


1. Organization and site


  • Your organization's name and logo are up to date — they appear on the welcome kiosk (check in Settings > Organization)
  • The site name is clear and identifiable for your visitors (check in Settings > Sites)
  • The site address is filled in (optional but recommended)



2. Host employees


  • All employees likely to receive visitors are added to the host employee list
  • Each employee has an email address filled in (to receive arrival notifications)
  • Employees who receive the most visitors are marked as favorites (star) to appear first on the kiosk
  • Each employee is linked to the correct site (or to multiple sites if they move between sites)


💡 Tip: Consider the CSV import if you have many employees to add at once. See "Add your host employees" for the complete guide.


3. Welcome flow


  • Entry instructions are written and enabled (if you want your visitors to read safety rules or internal regulations)
  • Custom fields are configured (company, visit purpose, license plate… according to your needs)
  • Visitor types are defined, if you want to customize the flow based on the visitor's profile (supplier, candidate, customer…)
  • The validation quiz is ready, if your instructions require a comprehension check
  • Welcome languages are configured — enable all languages spoken by your visitors


💡 Tip: Test the full flow on your smartphone after each change. Scan your QR code and check that the screen sequence (form → instructions → quiz → confirmation) matches what you expect.


4. Notifications


  • Email notifications are enabled in Settings > Sites > Features > Notifications
  • SMS notifications are enabled if desired (in addition to email)
  • A notification test was conducted during your test visit — check that the email arrived in the host employee's inbox


⚠️ Important: If emails end up in your employees' spam folders, ask them to add no-reply@anghello.co to their contacts.


5. QR code and display


  • The QR code poster is printed and displayed at the entrance of your site, clearly visible to visitors
  • The QR code has been tested with a smartphone — it opens correctly on the welcome kiosk
  • If you are using a tablet, it is installed, connected, and working correctly


💡 Tip: Display the poster at eye level, near the main entrance or reception desk. Visitors should spot it immediately upon arrival.


6. Security and compliance


  • The QR code security options are appropriate for your environment (VPN, proxy, country filter)
  • Automations are configured: automatic visit closure at the end of the day, anonymization after X days (recommended for GDPR compliance)
  • Evacuation contacts are defined, if you wish to use the evacuation feature


7. Team and access


  • Your team's users are added with the correct roles (manager, receptionist…)
  • Each user knows how to access the administration interface (app.anghello.co) and the Supervisor (spv.anghello.co) if needed
  • Visitor modification rights are configured according to your internal rules


Informing your team


Before launch day, remember to notify the relevant people:


Your host employees:


  • Explain that they will receive an email (and/or SMS) each time a visitor designates them as host
  • Show them what the notification looks like so they know how to recognize it
  • Let them know they do not need to configure anything — everything is managed from the administration interface


Reception / front desk:


  • Train them to use the Supervisor interface (spv.anghello.co) to monitor visits in real time
  • Show them how to manually check in a visitor from the administration interface if needed
  • Explain how the QR code poster works so they can guide visitors


Management / security:


  • Introduce the evacuation feature and the reports of people on site
  • Show the CSV exports for visit history


Launch day


On the day you start welcoming real visitors, keep these tips in mind:


  1. Stay available during the first few hours — observe how visitors interact with the kiosk and adjust if necessary
  2. Check notifications — make sure the first arrival emails are received correctly by your employees
  3. Check the Dashboard — in the administration interface, the Visitors page displays arrivals and departures in real time
  4. Stay in touch — our team is available via the chat at the bottom right if you have any questions


💡 Tip: During the first few days, some visitors may need to be shown the QR code or guided. This is completely normal! After a few days, it becomes second nature.


Good to know


💡 Tip: Your site is operational from the moment it is created — there is no "activate" button or draft mode. As soon as the QR code poster is displayed and your employees are added, visitors can register.


💡 Tip: You can modify your site's configuration at any time, even after launch. Changes are applied in real time on the welcome kiosk.


💡 Tip: If you manage multiple sites, repeat this checklist for each site. Each site has its own independent configuration.


Troubleshooting


Problem

Solution

Visitors cannot find the QR code

Move the poster to a more visible location (main entrance, reception desk). Consider a rigid stand or easel.

Employees do not receive notifications

Check that notifications are enabled in the site settings and that each employee has a valid email. See "Managing notifications".

A visitor does not understand the kiosk

Check that the welcome languages match those of your visitors. Simplify instructions if they are too long.

The kiosk displays an error when a visitor scans

Check the QR code security options (VPN, proxy, country filter). See "Configure the QR code and download the poster".

A host employee is missing from the kiosk list

Check that they are linked to the correct site and that they are not deactivated. See "Add your host employees".
