Configure the welcome flow

The welcome flow is the journey your visitors follow when they arrive at your site: from registering at the kiosk to notifying their host. This guide shows you how to customize each step of this journey.

Before you begin


  • You must have an Administrator or Manager account on Anghello
  • You must have at least one site created (see "Add your first site")


Access the site settings


1. Go to Settings > Sites


In the left menu, open the Settings section then click Sites.


2. Click on Features


On the card of the site you want to configure, click Features.


3. Discover the overview


The page opens on a visual dashboard that presents all configurable features as clickable cards. Each card represents one aspect of your visitors' welcome journey.



What you can configure


Here are all the available features, in the recommended order for setup:


Registration method


Feature

Description

QR Code

Allow your visitors to register by scanning a QR code with their smartphone. You can download a poster to print.

Tablet

Set up a tablet at reception so visitors can register directly on-site.


Click on one of these cards to access the configuration. This is the first recommended step — it defines how your visitors access the welcome kiosk.


💡 Tip: You can enable both methods at the same time! The QR code for self-service visitors, the tablet for assisted check-in.


Visitor journey


Feature

Description

Entry instructions

Write the instructions your visitors must read and accept before their visit (safety, confidentiality, internal rules…).

Validation quiz

Add a quiz to verify that the instructions have been understood. Requires the "Instructions validation" add-on module.

Custom fields

Define the information to request from your visitors (company, purpose of visit, license plate…). You can also add departure fields and internal fields.

Visitor types

Categorize your visitors by purpose of visit (supplier, candidate, client…). Each type can have its own instructions, quiz and fields.


Experience after registration


Feature

Description

Virtual badge

Enable a digital badge on the visitor's phone. They can find their information, call their host and record their departure.

Notifications

Configure alerts sent to your host employees when a visitor arrives or departs (email and/or SMS).

Visitor reviews

Enable a satisfaction survey sent to visitors after their visit.


Security and compliance

Description

Evacuations

Define who should be notified in case of evacuation (emails, SMS, notifications).

Automations

Schedule automatic visit closure at the end of the day, anonymization after a defined number of days, and automatic data deletion.

Editing rights

Choose whether managers and receptionists can edit visitor records.

Site languages

Choose the languages available on the welcome kiosk for your visitors.

Pre-registration

Allow visits to be planned in advance and send an invitation to the visitor. Requires the "Pre-registration" add-on module.


Where to start?


If you are configuring your site for the first time, we recommend this order:


  1. QR Code or Tablet — Choose how your visitors register
  2. Site languages — Enable the languages spoken by your visitors
  3. Entry instructions — Write your safety instructions or internal rules
  4. Custom fields — Add the information you want to collect
  5. Notifications — Configure alerts for your host employees
  6. Evacuations — Define the contacts to notify in case of emergency


Other features can be enabled gradually according to your needs.


💡 Tip: All changes are saved immediately for each feature. No need to configure everything at once.


💡 Tip: If you have multiple sites, each site has its own configuration. You can customize the welcome journey differently for each location.


⚠️ Important: Changes are applied in real time on the welcome kiosk. If you modify the instructions while visitors are registering, new visitors will see the updated instructions.


Features with add-on modules


Two features require an add-on module in your subscription:

If these modules are not included in your subscription, the corresponding cards appear grayed out in the overview. Clicking on them displays a message proposing to discover the module or contact our team.


Customize by visitor type


If you enable Visitor types, you unlock a powerful feature: customization by type.


A visitor type selector appears at the top of the page. You can then configure different instructions, a quiz and custom fields for each visitor type.


For example:


  • Suppliers must read enhanced safety instructions and pass a quiz
  • Candidates only need the basic instructions
  • Clients must enter the name of their company

Troubleshooting


Problem

Solution

A card appears grayed out

This feature requires an add-on module. See "Discover add-on modules" or contact us.

I do not see the "Features" button

Check that you are logged in as an Administrator or Site Manager.

My changes do not appear on the kiosk

Refresh the kiosk page (Ctrl+Shift+R). Changes are normally applied in real time.

The visitor type selector does not appear

First enable Visitor types in the overview.
