# Pre-registering a visit

Pre-registration lets you schedule a visit ahead of time and send the visitor an invitation. On the day, the visitor checks in faster because their details are already pre-filled. This guide shows you how to create a pre-registration.

**Audience:** Administrators, Managers, Receptionists
**Application:** Admin (app.anghello.co)
**Estimated time:** 3 minutes

## Before you start

* The **"Pre-registration"** add-on must be enabled on your site
* The feature must be turned on in the site settings (see "[Configuring pre-registration](https://help.anghello.com/en/article/configure-pre-registration-13dedu9/)")

## Creating a pre-registration

**1. Open the Pre-registration page**

In the left-hand menu, click **Pre-registration**.

**2. Click Add a visit**

Click the **Add** button at the top of the page. A window offers to select an already pre-registered contact or add a new one. Click **Add a new pre-registered contact**.

**3. Fill in the details**

| Field | Description |
| ---- |
| **First name** | The expected visitor's first name |
| **Last name** | The visitor's last name |
| **Email** | The visitor's email address (used to send the invitation) |
| **Company** | The visitor's company (optional) |
| **Host** | The employee the visitor is here to meet |
| **Start date and time** | The scheduled slot for the visit |
| **End date and time** | The expected end of the visit |
| **Visitor type** | The visitor type (if visitor types are enabled) |
| **Notes** | Extra information for the visitor (parking, access, etc.) |

**4. Save**

Click **Save**. Depending on the site configuration, an invitation email is sent to the visitor automatically.

## Managing pre-registered visits

The Pre-registration page has two tabs:

**Visits tab:**

* List of all scheduled visits
* Filters by status: **Scheduled**, **Cancelled**, **In progress**, **Past**
* Filters by period: **Today**, **Tomorrow**, **This week**, **This month**

**Contacts tab:**

* An address book of already-registered visitors
* Handy for quickly creating a new pre-registration for a regular visitor

## Cancelling a pre-registered visit

**1.** In the list of scheduled visits, click the visit you want to cancel.

**2.** Click **Cancel** and confirm.

The visit moves to the "Cancelled" status.

## Good to know

> 💡 **Tip:** The invitation email contains a direct link. When the visitor clicks it on the day of their visit, they're taken to the check-in kiosk with their visit pre-selected.

> 💡 **Tip:** The invitation can be set to send automatically X days before the visit (see "Configuring pre-registration").

## Troubleshooting

| Problem | Solution |
| ---- |
| The Pre-registration menu doesn't appear | Check that the "Pre-registration" add-on is included in your subscription and enabled in the site settings. |
| The invitation email isn't sent | Check the configuration in Settings > Sites > Features > Pre-registration. The "Invitation email" option must be set to "Always". |
| The visitor can't find their pre-registration on the kiosk | The visit is only findable within the time window configured before the appointment. |

If the problem persists, contact our team via the chat at the bottom right of your screen, or at support@anghello.co.
