# Edit or cancel a pre-registered visit

> Plans change: an appointment gets moved, a visitor cancels, practical information needs to be added. This guide shows you how to update or cancel a planned visit — on the Admin side as well as on the calendar side.

**Audience:** Administrators, Managers, Hosts, Receptionists
**Application:** Admin (app.anghello.co)
**Estimated time:** 2 minutes

---

### Before you start

* The visit must have the `Scheduled` or `Ongoing` status (past visits can't be edited).

---

### Steps — edit a visit

### 1. Open the visit

In the left-hand menu, click `Preregistration`. In the `Planned visits` tab, click the three small dots at the end of the visit's row.

### 2. Edit the information

Adjust the fields you need (time slot, host, notes, visitor type…).

### 3. Save

Click `Save`. If the date or time changes, a notification is automatically sent to the visitor (depending on the site configuration).

---

### Steps — cancel a visit

### 1. Open the visit to cancel

From the `Preregistration` menu > `Planned visits` tab, click the three small dots at the end of the visit's row.

### 2. Click "Cancel visit" and confirm

The visit switches to the `Cancelled` status. If the invitation email had already been sent, the visitor is informed of the cancellation.

---

### If the visit comes from a calendar (Outlook, Google Calendar, Teams)

Keep your **calendar as the source of truth**:

* **Editing the event** in your calendar automatically updates the visit in Anghello.
* **Cancelling the event** automatically cancels the visit.

No need to edit in both places — it syncs on its own.

---

### Good to know

⚠️ **Important:** changes are rejected if they happen too close to the start of the visit. This is deliberate, to avoid last-minute changes that don't have time to be communicated. If needed, make the adjustment directly at the front desk on the day.

💡 **Tip:** A cancelled visit stays visible in the `Planned visits` tab when you filter by the `Cancelled` status. So you keep the full history.

### Troubleshooting

| Problem | Solution |
| ---- |
| The `Cancel visit` button doesn't appear | The visit has already passed or been cancelled. |
| My change in Outlook isn't reflected | Check that the Anghello invitation address is still in the event's recipient list. |
