# Default fields configuration

**Audience**: Administrators and site managers

Default fields are the essential information requested from every visitor when they check in on the check-in kiosk: their first name, last name, company, and the employee they are visiting (the contact person, the host). Unlike [custom fields](https://help.anghello.com/en/article/add-custom-fields-1sm7vxm/), they are preconfigured by default, but two of them, **Company** and **Host**, are configurable to fit your needs.

## Before you start

* You need administrator or manager access on the site concerned.
* Go to **Sites** → select your site → **Settings** → **Form Fields** tab → **Checkin Fields** sub-tab.
* The **Default Fields** section appears at the top of the field list, before your custom fields.

## Understand the four default fields

The **First Name** and **Last Name** fields guarantee that every visitor is identified: they can neither be hidden nor made optional. The **Company** and **Host** fields open by clicking their chip in the Default Fields section.

> 💡 The First Name and Last Name fields only accept Latin letters (e.g. emojis and special characters are rejected). If the input is invalid, the visitor sees the message "Invalid characters (Latin letters only)".

## Configure the Company field

1. In the **Default Fields** section, click the **Company** chip.
2. In the window that opens, choose one of the three options.
3. Click **Save**.

| **Required** | The visitor must fill in their company to complete their check-in. |
| **Optional** *(default)* | The field is displayed, but the visitor can leave it empty. |
| **Disabled** | The field does not appear in the check-in form. |

## Configure the Host field

The Host field lets the visitor specify the employee they are visiting. Its configuration combines two settings: its **presence in the form** and its **listing mode**.

1. In the **Default Fields** section, click the **Host** chip.
2. Choose the field presence from the three options.
3. Then select the **Listing Mode** you want.
4. Click **Save**.

### Field presence

| Option | Effect for the visitor |
| ---- |
| **Required** *(default)* | The visitor must select an employee. If they don't know or can't find them, they can choose the "I don't know / I can't find my host" option. |
| **Optional** | The field is displayed, but the visitor can leave it empty. |
| **Disabled** | The field does not appear in the check-in form. |

> 💡 **Important**: whatever the setting, the Host field is automatically hidden if no employee is linked to the site.

### Listing mode

The listing mode determines how your employees are presented to the visitor searching for their host. It is a slider between ease of use and the confidentiality of your internal directory.

| Mode | Behavior | Recommended for |
| ---- |
| **Full List** *(default)* | All hosts are visible on open (250 max), with favorites displayed first. The visitor can browse the list or filter it by typing a name. | Small sites where the directory is not sensitive. |
| **Search with autocomplete** | On open, only favorite hosts are listed. The others appear as suggestions after a search of at least 2 characters. | A good balance between ease of use and privacy. |
| **Exact search** | Only favorite hosts are visible on open. The visitor must refine their search until they get a single result or exact matches on the name. | Sites where directory privacy is the priority. |

> 💡 **Tip**: mark your most requested employees as **favorites**: they are featured in every mode, and remain the only ones visible on open in the search modes.

## What the visitor sees

On the check-in kiosk, the visitor taps the **Contact Person** field: a search screen opens in fullscreen with a "Search by name..." field.

* **With the full list**, all employees appear immediately; typing a name filters the list.
* **With search with autocomplete**, the screen first shows the "Suggested contacts" (favorites), then the message "To find your contact, start typing their name.". Results appear as soon as 2 characters are typed.
* **With exact search**, if several employees match a partial search, no name is revealed: the visitor sees "Several contacts match. Please refine your search." and must refine their search until an **exact match**.

In every mode, if no result is found, the message "No contact found. Check the name entered." is displayed, and the visitor can select "I don't know / I can't find my host" to continue their check-in.

> 💡 The search modes (autocomplete and exact) protect your directory: the full list of your employees is never exposed to the visitor, neither on screen nor technically.

## Default fields per visitor type

If you have defined visitor types (for example *Visitor*, *Contractor*, *Delivery driver*), you can override the presence of the **Company** and **Host** fields for each type: a delivery driver can, for example, be exempted from specifying a host, while it remains required for a regular visitor.

> 💡 **Good to know**: the hosts **listing mode** is set at the site level only: **it applies to all visitor types.**

## Troubleshooting

| Problem | Likely cause | Solution |
| ---- |
| The Host field doesn't appear on the kiosk | No employee is linked to the site, or the field is set to **Disabled** | Add employees to the site or change the field setting |
| The visitor can't find their host | **Exact search** mode is enabled and the spelling is approximate | The visitor can use "I don't know / I can't find my host", or switch to autocomplete mode |
| An expected employee doesn't appear in the list | In full list mode, only the first 250 hosts are displayed | Switch to a search mode, or ask the visitor to type the name to filter |
| The Company field no longer appears | The field is set to **Disabled**, at the site level or the visitor type level | Check the setting in **Form Fields** and in the per-visitor-type settings |
