# Add your host employees

Your host employees are the people your visitors come to meet. By adding them in Anghello, you allow visitors to select them on the welcome kiosk and you enable arrival notifications. This guide shows you how to add, edit and manage your host employees.

**Audience:** Administrators, Managers, Receptionists
**Application:** Admin (app.anghello.co)
**Estimated time:** 5 minutes (manual addition) — 10 minutes (CSV import)

### Before you begin

* You must have an **Administrator, Manager or Receptionist account** on Anghello
* At least one site must be created in your organization

### Add an employee manually

**1. Go to the host employees list**

In the left menu, click **Host employees**.

**2. Click Add an employee**

Click the **Add an employee** button at the top right of the page.

**3. Fill in the employee's information**

Fill in the following fields:

| Field | Required | Description |
| ---- |
| **First name** | Yes | The employee's first name |
| **Last name** | Yes | The employee's last name |
| **Position** | No | Their role in the organization (e.g.: "HR Manager") |
| **Email** | No | Their professional email address — used for arrival notifications |
| **Phone** | No | Their main phone number |
| **Direct phone** | No | Their direct line number |
| **Internal phone** | No | Their internal extension number |

> 💡 **Tip:** If you enter the employee's email, they will automatically receive a notification each time a visitor designates them as their host upon arrival.

**4. Select the main site**

Choose the employee's **main site** from the dropdown menu. This is the site the employee is assigned to by default.

**5. Associate additional sites (optional)**

If the employee works on multiple sites, click **Associate with other sites** to make them visible on the welcome kiosk at those sites as well.

> 💡 **Tip:** A multi-site employee appears on the welcome kiosk of each of their sites. Ideal for colleagues who move between multiple offices!

**6. Save**

Click **Save**. The employee is immediately added and appears in the list. They will also be offered as a host on the welcome kiosk at their associated site(s).

### Import employees from a CSV file

If you have many employees to add, CSV import is the fastest method.

**1. From the host employees list**, click the **Import** button (import icon) at the top of the page.

**2. Download the CSV template**

An import wizard opens. Click **Download the template** to get a pre-formatted CSV file with the correct columns:

| Column | Description |
| ---- |
| first_name | First name (required) |
| last_name | Last name (required) |
| email | Email address |
| phone | Phone |
| direct_phone | Direct phone |
| internal_phone | Internal phone |
| position | Position / role |

**3. Fill in the file and import it**

Complete the CSV file with your data, then drag and drop the file into the designated area or click to select it.

**4. Check and confirm**

The wizard displays a preview of the detected data. Check that the columns are correctly mapped to the right fields, then click **Import** to launch the import.

> ⚠️ **Important:** The import is limited to **1,000 rows** per file. If you have more employees, split your file into multiple batches.

> 💡 **Tip:** If an imported email already exists in your organization, Anghello will offer to link the existing employee to the relevant site rather than creating a duplicate.

### Edit an employee

**1.** In the host employees list, click on the row of the employee you want to edit.

**2.** A panel opens on the right with the employee's details. Click **Edit** to access the edit form.

**3.** Modify the desired information, then click **Save**.

### Deactivate or reactivate an employee

If an employee temporarily leaves your organization or changes position, you can deactivate them rather than deleting them.

**1.** Open the employee's record (click on their row in the list).

**2.** Click the **Deactivate** button.

A deactivated employee:

* Appears grayed out in the employees list
* Is **no longer offered** as a host on the welcome kiosk
* Is **no longer included** in visitor searches
* Can be **reactivated** at any time by clicking **Activate**

> 💡 **Tip:** Deactivating an employee rather than deleting them allows you to retain their visit history and reactivate them easily when they return.

### Mark an employee as a favorite

If certain employees receive many visitors, you can mark them as favorites so they appear first in the search on the welcome kiosk.

**1.** In the host employees list, click the **star icon** to the left of the employee's name.

The star fills in to indicate that the employee is a favorite.

> 💡 **Tip:** Favorite employees appear first when a visitor searches for their host on the welcome kiosk. This is ideal for people who receive the most visitors (reception, management, HR…).

### Search and filter employees

The host employees list has several tools to quickly find an employee:

* **Search bar** — Type a name, first name or position to filter the list in real time
* **Filter by site** — Select a site to display only employees assigned to that site
* **Pagination** — Navigate between pages if you have many employees

### Good to know

> 💡 **Tip:** A host employee does not need to have an Anghello user account. Host employees and users (administrators, managers, receptionists) are managed separately. A host employee is simply a person that visitors can select upon arrival.

> 💡 **Tip:** The employee list displays the following columns: last name, first name, email, phone, job title, and site. You can quickly identify an employee using this information.

> ⚠️ **Important:** If an employee does not appear on the welcome kiosk at a site, check that they are linked to that site (primary site or associated site) and that they are not deactivated.

### Troubleshooting

| Problem | Solution |
| ---- |
| The employee does not appear on the welcome kiosk | Check that the employee is linked to the correct site and that they are not deactivated. Refresh the kiosk (Ctrl+Shift+R). |
| The CSV import fails | Check that your file matches the template format (columns, UTF-8 encoding). The limit is 1,000 rows per import. |
| A duplicate is created after the import | If two employees share the same email, Anghello detects the duplicate and offers to link the existing one to the site. Check emails before importing. |
| The employee does not receive notifications | Check that their email address is correctly filled in and that notifications are enabled in the site settings (see "[Managing notifications](https://help.anghello.com/en/article/manage-notifications-15djoc0/)"). |
| The "Add an employee" button does not appear | Check that you have the **Administrator**, **Manager**, or **Receptionist** role. |
